Key Operator Checklist

Operation Panel Hard Keys

 

A. The location of keys on the Operation Panel can be found on pages 12 & 13 of the Operator’s Manual.

 

B. The use of each key is explained below.

 

  • Reception Mode - Should illuminate the AUTO RECEIVE indicator for all incoming messages using Memory. If you are in communication by phone with the sender, and the sender can direct you to press the START key to begin receiving the message, the key should be pressed to illuminate the MANUAL RECEIVE indicator for that message only.
  • Memory - Should be ON for all messages except for Immediate transmissions. Immediate transmission is used when it is necessary to send the fax immediately; when you want to determine if the receiving party has been connected; or, when memory is low.
  • Stamp - When activated, causes a small stamp mark to be imprinted near the bottom of each page. Indicates that the message was successfully stored in Memory (if Memory is ON) or was transmitted successfully in Immediate mode (if Memory was OFF).
  • Quick Dial - Thirty individual keys to store up to 30 frequently-used numbers. Quick Dial keys can also be used to program Auto Documents (to transmit maps, applications, price lists, etc.). When entering labels, Quick Dial key 27 is used as a spacebar, key 28 is used to access symbols which are displayed one by one by using the right-hand scroll key, and entered by pressing the YES key. Keys 29 and 30 are used to enter parentheses.
  • User Function (F1 and F2) – Located next to Quick Dial key No. 30, each can be programmed (Function 36) with a frequently-used feature (e.g. Print the Journal, turn TTI ON/OFF, access Group Key for group dialing, Dial Option, Batch Transmission, or Forwarding).
  • Function - Used to access functions 11 through 94, entered on the 10-key keypad as a 2-digit number. (Functions 61 - 94 require an additional access code.)
  • Copy - Used to access the convenience copier mode.
  • Scroll - Four keys, consisting of arrow keys (left, right, up, down). The Down arrow is used as the YES key; the Up arrow is used as the NO key; the Right arrow is also referred to as the OPTION key for accessing special functions, such as Send Later, Page Set, etc. In addition, the NO key is used to delete an entire line during number or label editing.
  • Speed Dial/Tel Directory - Used in conjunction with 2-digit numbers entered on the 10-key to access one of 90 pre-programmed Speed Dial numbers. Used as a telephone directory for Speed Dial numbers by entering the first letter of the programmed label, followed by pressing the Down scroll key to scroll through all the labels beginning with that letter.
  • Pause/AI Redial - Used to insert a pause after the country code when dialing internationally, or when entering the fax machine’s Own Number during initial set-up. When the machine is in a ready status, will display the last ten numbers that were used in message transmission by using the Down scroll key.
  • Clear - Erases the last character or digit being edited, or one that has been underscored by the cursor by using the Left or Right scroll keys.
  • Halftone - Used when faxing a photo or multi-tone image.
  • Number Keys (10-KEY) - Used to manually enter a fax number. Also used to enter 2-digit Speed Dial numbers, date and time, User Parameter bit numbers, etc.
  • Asterisk (*) / Pound (#)
      - Located on the 10-key, used to alternate between AM and PM when setting the time and when transmitting Send Later, Transmission Deadline, etc.
  • On-Hook-Dial - Used with a handset to dial without picking up the handset until the called party answers.
  • Energy Saver - Illuminates when machine is in the energy saver mode; when pressed, returns machine to the standby mode.
  • Stop - Stops the machine and returns it to the standby mode.
  • Start - Starts the fax transmission, or the copy operation when in the Copy mode.

 

Initial Settings

 

A. To check or change the initial settings (own Number, RTI, TTI, CSI), proceed as follows:

 

  1. Own Number
    1. Press FUNCTION, then enter the numbers 6222261 on the 10-key.
    2. Press YES twice, and the number that has been programmed will be displayed. To change it, press NO, then enter the new number, pressing the PAUSE button after entering the Area Code and again after entering the Prefix.
    3. Press YES to accept the new number; SET RTI will then be displayed.
  2. RTI (Receive Terminal Identification, which is displayed on receiving machine’s display panel).
    1. Press YES to enter the RTI-setting mode. Use the alphabetic characters on the Quick Dial keys to enter the desired label with a maximum of 20 characters (e.g. press the 01 key for letter A, the 02 key for letter B, etc.)
    2. If the RTI needs to be changed, press YES when prompted. Use the left or right arrows to scroll to the character to be changed, then use the CLEAR button as a backspace to erase. Or, use the NO key to erase the entire RTI and enter a new one.
    3. When the RTI reads as desired, press YES to accept the changed RTI. SET TTI will then be displayed.
  3. TTI (Transmitter Terminal Identification, which is printed at top of fax by receiving party).
    1. Press YES to enter the TTI-setting mode or to change the TTI, which initially will be displayed the same as the RTI. The TTI can be edited to consist of a total of 32 characters. The TTI is entered and edited in the same manner as the RTI.
    2. To accept it in its present or changed setting, press YES; SET CSI will then be displayed.
  4. CSI (Called Station Identification) - required by law.
    1. Press YES to enter the CSI-setting mode.
    2. Enter the machine’s full fax number, which must be preceded by the U.S. country code ("1") if transmitting internationally.
    3. Press YES to accept the CSI as displayed.
  5. To exit from the preceding or any other function settings, press the FUNCTION key.

 

B. To check or set date and time, proceed as follows:

 

  1. Press FUNCTION, then enter 6222291 on the 10-key, then YES to display date and time.
  2. If the month is incorrect, use the (*) or (#) keys on the 10-key to scroll to the current month.
  3. If the date is incorrect, enter the correct 2-digit number on the 10-key.
  4. Enter the year and time on the 10-key as a 6-digit number (YR/HR/MIN), changing to AM or PM using the (*) or (#) keys.
  5. Press YES and FUNCTION to accept the new entry and return to a ready status.

 

C. To turn Daylight Saving ON or OFF, proceed as follows:

 

  1. Press FUNCTION, then enter 6222262 on the 10-key.
  2. Press the right arrow repeatedly until DAYLIGHT TIME ON/OFF is displayed, then press YES.
  3. Use the left or right arrows to switch the feature ON or OFF, which will be displayed as ON< or >OFF.
  4. Press YES to store the setting. (Thereafter, the time will automatically be advanced one hour when turned ON, retarded one hour when turned OFF.)

 

D. To adjust the volume of the monitors (beepers) and buzzer, proceed as follows:

 

  1. Press FUNCTION, enter 6222292 on the 10-key to display ADJUST VOLUME, then press YES.
  2. Scroll through each of the monitors/buzzers displayed by pressing YES repeatedly, and adjust the volume, if necessary, by using the Left or Right arrows to decrease or increase the level indicators displayed for each.

 

E. To display the mechanical counters, press FUNCTION, then enter 622294 on the 10-key, then YES, to display the Transmit and Receive accumulated totals. Press YES again to display the Scan and Print accumulated totals.

 

Quick Dial Numbers

 

A. Thirty Quick Dial numbers can be programmed.

 

B. To check, add, change or delete one of the 30 Quick Dial numbers available, proceed as follows:

 

  1. Press FUNCTION, then enter 31 on the 10-key as a two-digit number.
  2. Press YES to display PRINT LIST3 /SEARCH4 . (If a list is desired at this time, press the left scroll key and then START.)
  3. Use the right scroll key to select SEARCH. Number 01 will be displayed.
  4. If already programmed, the fax number will be displayed. If not programmed, PROGRAM? will be displayed.
  5. If programming the number is desired, press YES, then enter the fax number without dashes, using the 10-key. However, if entering an international number, press the PAUSE key after entering the country code {e.g. 011 81 PAUSE 344-1801), which will insert a dash at that point. If editing is desired, press NO and correct the number as required.
  6. Accept the displayed number (if correct) by pressing YES.
  7. At the PROGRAM LABEL? query, press YES, then enter the label using the procedures on pages 2 and 3 of this document for entering an RTI or TTI, pressing YES to accept the label into memory.
  8. At the LABEL SET display, press YES to accept the Label Set option in the default OFF setting. (If Label Set is desired, refer to page 182 of the Operator’s Manual.)
  9. Repeat the procedure for additional numbers. When the last number has been programmed or edited, press FUNCTION to return to a ready status.

 

Speed Dial Numbers

 

A. One hundred 2-digit Speed Dial numbers can be programmed (numbers 00 through 99).

 

B. To check, add, change or delete one of the Speed Dial numbers, proceed as in programming Quick Dial Numbers (above), substituting 32 on the 10-key vice 31.

 

Group Dial Numbers

 

A. Seven groups can be programmed, with each group consisting of up to 132 numbers (Quick Dial, Speed Dial or ten-key-dialed numbers) in any order. (It is recommended that User Function key F1 or F2 be programmed as the Group Dial key. (See Function 36 in the chart at the back of the Operator’s Manual).

 

B. To program a group, proceed as follows:

 

  1. Press FUNCTION, then enter 33 on the 10-key, then YES.
  2. Input the number of the Group you wish to program (e.g. "1"), then press YES.
  3. When the PROGRAM LABEL? is displayed, press YES or NO.
  4. If YES, input the label of that particular group (e.g. WEST COAST VENDORS) as previously explained for entering labels, then press YES to accept.
  5. Enter the fax numbers you want included in that Group.
    1. If any of the numbers are already programmed as Quick Dial numbers, press each of the desired Quick Dial keys and press YES following each key pressed. Repeat for the remaining Quick Dial numbers.
    2. If any of the numbers are already programmed as Speed Dial numbers, press the SPEED DIAL button, followed by the 2-digit number on the 10- key, then YES. Repeat for the remaining Speed Dial numbers for that Group.
    3. If any of the numbers you want in the Group are not programmed as Quick or Speed Dial numbers, enter the number(s) on the 10-key in the normal manner, followed by YES.

 

C. To change the label of a group, or to edit or delete a number in the group, press FUNCTION, then enter 33 on the 10-key, then press YES.

 

  1. Enter the number of the group (1 through 7) you wish to re-label or edit, then press YES.
  2. At the PROGRAM LABEL query, press YES. Edit the label, then press YES.
  3. To edit or delete a number programmed on a Quick Dial, press that key, then press YES. At the ALREADY PROGRAMMED display, press NO to keep the number, then edit using the scroll keys or CLEAR key; press YES when edited. To erase the number, press YES.
  4. To edit or delete a Speed Dial number, Press SPEED DIAL, then enter the 2-digit number on the 10-key, then YES. Edit or delete as in the paragraph above.
  5. Press FUNCTION to return to a ready screen.

 

Fax Transmission

 

A. Place up to 50 originals into the document feeder in landscape orientation, face up, top edge first, with the first page (e.g. cover sheet) on top.

 

B. Dial the number in one of several ways:

 

  1. Entire the entire number, including access and country codes, using the 10-key, then press START. If transmitting internationally, press the PAUSE key after the country code (e.g. 011 81 PAUSE 344-0118) to insert a dash.
  2. If the called party’s number has been programmed as a Quick Dial, press the desired Quick Dial key, then press START.
  3. If the called party’s number has been programmed as a Speed Dial, press the SPEED DIAL key, then enter the two-digit number using the 10-key, then press START.
  4. If transmitting to a Group, press the User Function key programmed as the Group Dial key, enter the Group number (1 through 7), then press START.
  5. If transmitting to a number of locations, not covered by a Group, enter Quick Dial, Speed Dial or 10-key-dialed numbers, pressing YES after each, then press START. (This procedure is referred to as "broadcasting".)
  6. Select any transmission options using the Option (right scroll) key to select, then press YES.

 

Adding Toner

 

A. When the toner cartridge is almost empty, the Add Toner indicator starts to blink; approximately 100 more pages can be printed.

 

B. When the indicator stops blinking and remains lit, the toner cartridge must be replaced before further operations. Proceed as follows:

 

  1. Raise the Operation Panel by lifting on its front edge.
  2. Press the green latch finger located at the front right corner of the machine to release the Top Cover, then raise it.
  3. Using the lifting holes in the cartridge, lift the cartridge from the machine. CAUTION: Do not touch the green photoconductor drum located in the machine below the cartridge.
  4. Unpack the new cartridge from its shipping container. Holding the cartridge horizontal, shake it several times from end to end to evenly distribute the toner inside. Remove the black sheet that protects the shutter mechanism, then grasp the tape at the end of the cartridge and pull the plastic strip out all the way.
  5. Slide the new cartridge straight down into the machine as far as it will go.
  6. Remove and discard the green plastic cleaning pad holder, and replace it with the new one packed in the cartridge box. Align the green arrow with the matching arrow on the orange caution label on the machine, so that the open side of the cleaning pad holder faces the front of the machine.
  7. Close the Top Cover and the Operation Panel, ensuring that both are securely locked in place.

 

Adding Paper

 

A. When the Add Paper indicator is lit, proceed as follows:

 

  1. Open the Paper Cassette all the way.
  2. Press down on the bottom plate (upon which the paper stack rests) until it locks in place. (If adding paper to an existing stack, press down on the stack.)
  3. Fan the new stack of paper several times to ensure proper separation.
  4. Load the stack of paper into the Paper Cassette, print side up, with the end of the stack under the two metal corners. Do not load beyond the load limit line.
  5. Ensure the end and side fences are flush with the stack of paper.
  6. Slide the Paper Cassette back into the machine.

 

Replacing the Stamp

 

A. When the stamped impression becomes too light to be easily discernible, proceed as follows:

 

  1. Raise the Operation Panel by lifting it on the front edge.
  2. Using tweezers, lift out the old stamp located in a recess to the left of the wide feed rollers in the center of the machine under the hinged end of the Operations Panel. If tweezers are not available, press the sharpened point of a wooden pencil straight down into the center of the stamp, and lift it out.
  3. Insert the new stamp into the recess in the machine.
  4. Close the Operation Panel until it is locked in place.

 

Clearing Misfeeds

 

A. If CLEAR ORIGINAL appears on the display, proceed as follows:

 

  1. Raise the Operation Panel by lifting on its front edge.
  2. Carefully remove the misfed original and any pieces. NOTE: An original misfeed can occur when the original is longer than the maximum limit.
  3. Close and latch the Operation Panel.

 

B. If CLEAR COPY appears on the display, the misfeed can be in one of four areas:

 

  1. Main Paper Cassette
    1. Pull the Main Paper Cassette out horizontally to its open position.
    2. Carefully remove the misfed paper and any pieces.
    3. Return the Main Paper Cassette to its original position.
  2. Optional Lower Cassette (additional paper supply)
    1. Pull the Lower Cassette out horizontally to its open position.
    2. Remove the misfed paper and any pieces.
    3. Return the Lower Cassette to its original position.
  3. Inside the machine
    1. Remove the Copy Tray (located above the Main Paper Cassette).
    2. Lift and raise the Operation Panel.
    3. Press the green latch finger on the front right corner of the machine and lift the Top Cover. CAUTION: Do not touch the fusing unit, which will be hot, or the green photoconductor.
    4. Carefully remove the misfed paper and any pieces.
    5. Return the Top Cover and the Operation Panel to their original positions, ensuring they lock into place.
    6. Reinstall the Copy Tray.
  4. Copy Exit Area
    1. With the Copy Tray removed, open the Copy Exit Cover by pulling on the two protruding tabs.
    2. Gently pull out the misfed paper.
    3. Close the Copy Exit Cover.
    4. Reinstall the Copy Tray.
