Programming Fax Destinations

 

Web Image Monitor is a web based hardware management tool that allows designated users to program and administer their Ricoh MFP from a work station.

Note: The IP address of the Ricoh MFP system is required to access Web Image Monitor

 

Locating the IP Address

 

  1. Press the User Tools/Counter key. Touch Printer Features.
  2. Touch Config. Page to print a configuration page. The IP address is located in the middle to bottom of the page.
  3. Press the User Tools/Counter key to exit and return to the main screen.

Note: If the printout reads: IP address 122.053.000.001 then the IP address is actually 122.53.0.1

The extra 0’s in front of a number only hold space and 000 translates to just 0 as shown above.

 

Launching Web Image Monitor

This connection can only be made if the computer and the MFP are on the same network, in other words, this cannot be done from home.

  1. Launch Internet Explorer on computer.
  2. Delete home page address, including the http://
  3. Type in the IP address of the MFP and press Enter or click GO.

 

This will launch Web Image Monitor that links directly to the Ricoh MFP. This allows users to check the status of the machine, review history of print jobs, view and manage documents on the Document Server or in the Fax memory and provides access to the Address Book.

 

Add/Change/Delete Fax Destinations in the Address Book

The Address Book is where fax numbers, e-mail addresses, user codes and folders are entered into the systems address book, then displayed on the operation screen of the respective feature. To access the address book, Web Image Monitor must be launched as described above.

 

  1. Select Login, located on the upper-left side of the display.
  2. Default User Name = admin (lower case). Password: leave blank
  3. Select Address Book, located on the left side of the display.
  4. Select Add, located on the top of the display. A user profile page will be provided.
  5. Enter users Name and the Key Display Name in the user profile fields.

Optional: Use q to select category in Title 1, 2, 3 (Title 1 is the default - alpha).

  1. Use q arrow on the right bottom side of display to scroll to Fax Destination. Enter fax destination.
  2. Scroll to the top-right and click OK to confirm.

To edit, delete or change an existing Fax Destination, click in the circle to the left of the name

and select Change or Delete on the top of the screen.

 

Note: If an error message appears in display stating that the system is in use, all the profile information will have to re-entered and saved. Make sure the system is not in use or left in User Tools during programming.

 

Click Log out before Closing down Web Image Monitor.

 

Suggestion: Add a link to “Favorites” for quick access in the future.

 

Web Image Monitor: Programming Groups for Fax Destinations

 

Name the Group

 

  1. Access Web Image Monitor by entering the machine IP address into the browser field and press Enter. Web Image Monitor screen will appear.
  2. Click on Log in, located on the upper left of display screen.
  3. Username is admin.
  4. Do not enter a password,
  5. Click on Address Book located on the left side of display.
  6. Click on ▼ to right of View, located at the top left side of the tool bar. Select Group.
  7. Select Add, located on top of display.
  8. Use ▼ arrow to right of User to select Group. Group screen will appear.
  9. Enter name of group into Name field and Key Display field.

Optional: Use q to select category in Title 1, 2, 3 (Title 1 is the default - alpha).

  1. Click on OK at the top right of display screen. Group has now been programmed and named.

 

Programming and Entering new Fax Destinations into the Group

 

  1. Click on ▼ arrow to right of View and select User. User Screen will appear.
  2. Click on Add at the top of display screen.
  3. Enter name of destination in Name and Key display fields.

Optional: Use q to select category in Title 1, 2, 3 (Title 1 is the default - alpha).

  1. Use ▼arrow at bottom right of screen to scroll to Fax.
  2. Use blue keypad to enter fax number in Fax No. field.
  3. Use ▼ arrow at bottom right of screen to scroll to bottom of page.
  4. Select Change to the right of Assign Group. The group programmed above will be displayed.
  5. Check box to left of the Group(s) the fax destination will be added to.
  6. Select OK at the top right of the screen. User screen will appear. Select OK at the top right.
  7. The destination has been entered into the Group.
  8. Repeat steps 12 through 19 until all destinations have been programmed and entered into the group.

 

Adding a Fax Destination to a Group: when Fax Destinations have already been programmed

  1. Access Web Image Monitor by entering the machine IP address into the browser field and

press Enter. Web Image Monitor screen will appear.

  1. Click on Log in, located on the upper left of display screen.
  2. Do not enter a password. OK to confirm
  3. Click on Address Book located on the left side of display.
  4. Check the circle to the left of the name and select Change at the top of the display.
  5. Scroll to the bottom of the page and check the box(s) to the left of the desired Group.
  6. Scroll to the top of the screen and select OK. Fax Destination has been added to the selected group.

 

Selecting and Sending a Group Fax from the MFP

 

  1. Press the Facsimile key.
  2. Place fax in Document Feeder.
  3. Touch the Group Name as programmed above, and press Start.
  4. Fax will be sent to all the destinations programmed into the Group.

 

Deleting a Group

Access the Web Image Monitor Address Book by following directions above.

  1. Click on ▼ to right of View, located at the top left side of the tool bar. Select Group.
  2. Select the Group to be deleted by checking the circle to the left of the Group name.
  3. Click on Delete,located on the top left of the display. Click on Yes to confirm.
  4. Group will be deleted.
  5. To return to the Users screen, click on ▼ to right of View, and select User, User Screen will appear.

The Address Book is where fax numbers, e-mail addresses, user codes and folders are populated into the systems address book, then displayed on the operation screen of the respective feature. To access the address book, Web Image Monitor must be launched as described above.

 

  1. Select Login, located on the upper-left side of the display.
  2. User Name = admin (lower case). Password: leave blank
  3. Select Address Book, located on the left side of the display.
  4. Select Add, located on the top of the display. A user profile page will be displayed.
  5. Enter the users Name and Key Display Name.

Optional: Use q to select category in Title 1, 2 or 3 (Title 1 is the default).

Example AB / CD / EF / GH etc.

  1. Use arrow q on right bottom side of display to scroll to bottom of page.
  2. To the right of E-mail Address enter the email address in field.

This programs the email address as a Destination.

  1. If you want to program this email address as a Sender too: Scroll to top of page to Protection.
  2. To the right of Use Name as – check box to the right of Sender to select.

Email Address is now a Sender.

  1. To protect the senders email address:

To the right of Protect Destination – check box next to Sender to select.

  1. Select Change and enter a numeric code. Confirm code by entering it again.
  2. Click on OK located on the upper right of the screen.
  3. Click on OK if finished or Save and Add Another to program additional email addresses.

  1. Select Login, located on the upper-left side of the display.
  2. Default User Name = admin (lower case). Password: leave blank
  3. Select Address Book, located on the left side of the display.
  4. Select Add, located on the top of the display. A user profile page will be provided.
  5. Enter users Name and the Key Display Name in the user profile fields.
  6. Scroll to User Code. Enter numeric user code.
  7. Scroll to Available Functions.
  8. To the right of Copier – select the functions you want this code to monitor.
    1. Full Color / Black & White / Single Color / Two-Color
  9. To the right of Printer – select the functions you want this code to monitor.
    1. Full Color / Black & White
  10. To the right of Other Functions – select the functions you want this code to monitor.
    1. Document Server / Fax Transmission / Scanner
  11. Scroll to the top-right and click OK to confirm.
  12. To enter additional user codes, follow steps 4 through 8.

After User Codes have been programmed, they must be activated (turned on) in User Tools, see page 2.

 

Note: If an error message appears in display stating that the system is in use, all the user code information will have to re-entered and saved. Make sure the system is not in use or left in User Tools during programming.

 

Click Log out before Closing down Web Image Monitor.

Suggestion: Add a link to “Favorites” for quick access in the future.

 

After User Codes have been programmed, they must be turned ‘ON’ to activate the feature.

 

Activating User Codes in User Tools (at the MFP)

 

  1. Press the User Tools/Counter key.
  2. Touch System Settings.
  3. Touch Administrator Tools.
  4. Touch User Authentication Management.
  5. User Code Authentication will be highlighted (selected).

DO NOT TOUCH ANY OTHER AUTHENTICATION SETTING.

  1. To activate the codes - touch the color settings and functions this code will have access to:

Copier – Full Color / Black & White / Single Color / Two-Color

Printer – Color / Black & White / PC Control

Other Functions – Document Server / Facsimile / Scanner / Document Mall (DM)

  1. Touch OK to confirm.
  2. Press the User Tools key to exit and return to the main screen.

 

After User Codes have been programmed and activated, the display screen will require a code before the function can be used. Enter the User Code and press the # to gain access to the function. The display screen will return to asking for a code in 60 seconds – if you press the Clear Modes & Clear/Stop keys together, the screen will return to asking for a code immediately.

 

Printing the Counter for all User Codes

 

  1. Press the User Tools/Counter key.
  2. Touch System Settings.
  3. Touch Administrator Tools.
  4. Touch Display/Clear/Print Counter per User.
  5. Under All Users, touch Print Counter List.
  6. Select the counter(s) to be printed. Touch Print to print a counter list.
  7. Upon completion of printing, touch Exit.
  8. Press the User Tools/Counter key to exit and return to the main screen.

 

Resetting Counters

 

  1. Press the User Tools / Counter key.
  2. Touch System Settings.
  3. Touch Administrator Tools.
  4. Touch Display/Clear/Print Counter per User Code.
  5. Touch the individual user code(s) to be reset or touch Select all on the page to reset all codes).
  6. Touch Clear to the right of Per User or All Users for all codes.
  7. Select the counter(s) to be cleared, and touch OK to confirm.
  8. Press the User Tools/Counter key to return to the main screen.
