Programming Fax Destinations
Web Image Monitor is a web based hardware management tool that allows designated users to program and administer their Ricoh MFP from a work station.
Note: The IP address of the Ricoh MFP system is required to access Web Image Monitor
Locating the IP Address
Note: If the printout reads: IP address 122.053.000.001 then the IP address is actually 122.53.0.1
The extra 0’s in front of a number only hold space and 000 translates to just 0 as shown above.
Launching Web Image Monitor
This connection can only be made if the computer and the MFP are on the same network, in other words, this cannot be done from home.
This will launch Web Image Monitor that links directly to the Ricoh MFP. This allows users to check the status of the machine, review history of print jobs, view and manage documents on the Document Server or in the Fax memory and provides access to the Address Book.
Add/Change/Delete Fax Destinations in the Address Book
The Address Book is where fax numbers, e-mail addresses, user codes and folders are entered into the systems address book, then displayed on the operation screen of the respective feature. To access the address book, Web Image Monitor must be launched as described above.
Optional: Use q to select category in Title 1, 2, 3 (Title 1 is the default - alpha).
To edit, delete or change an existing Fax Destination, click in the circle to the left of the name
and select Change or Delete on the top of the screen.
Note: If an error message appears in display stating that the system is in use, all the profile information will have to re-entered and saved. Make sure the system is not in use or left in User Tools during programming.
Click Log out before Closing down Web Image Monitor.
Suggestion: Add a link to “Favorites” for quick access in the future.

press Enter. Web Image Monitor screen will appear.

The Address Book is where fax numbers, e-mail addresses, user codes and folders are populated into the systems address book, then displayed on the operation screen of the respective feature. To access the address book, Web Image Monitor must be launched as described above.
Optional: Use q to select category in Title 1, 2 or 3 (Title 1 is the default).
Example AB / CD / EF / GH etc.
This programs the email address as a Destination.
Email Address is now a Sender.
To the right of Protect Destination – check box next to Sender to select.
To edit, delete or change an existing destination, email address or user, click in the circle to the left of the name and select Change or Delete.

The Address Book is where fax numbers, e-mail addresses, user codes and folders are entered into the systems address book, then displayed on the operation screen of the respective feature. To access the address book, Web Image Monitor must be launched as described above.
After User Codes have been programmed, they must be activated (turned on) in User Tools, see page 2.
Note: If an error message appears in display stating that the system is in use, all the user code information will have to re-entered and saved. Make sure the system is not in use or left in User Tools during programming.
Click Log out before Closing down Web Image Monitor.

After User Codes have been programmed, they must be turned ‘ON’ to activate the feature.
Activating User Codes in User Tools (at the MFP)
DO NOT TOUCH ANY OTHER AUTHENTICATION SETTING.
Copier – Full Color / Black & White / Single Color / Two-Color
Printer – Color / Black & White / PC Control
Other Functions – Document Server / Facsimile / Scanner / Document Mall (DM)
After User Codes have been programmed and activated, the display screen will require a code before the function can be used. Enter the User Code and press the # to gain access to the function. The display screen will return to asking for a code in 60 seconds – if you press the Clear Modes & Clear/Stop keys together, the screen will return to asking for a code immediately.
